How the Privacy Act applies to us
We follow the Australian Privacy Principles whether or not we are required to
The Privacy Act 1988 (Cth) and the Australian Privacy Principles generally bind organisations above $3 million turnover. We may fall below that threshold, and we are saying so rather than implying an obligation we might not have.
We follow the Australian Privacy Principles regardless. We work with universities and research institutions that are bound by the Act, and holding ourselves to a lower standard than our clients would be indefensible.
What we collect
Form fields only — nothing is gathered in the background
We collect only what you actively submit. Nothing is collected as you browse.
Contact form: name, work email, organisation (optional), topic, and your message.
ORYX demo request: name, work email, organisation, and optionally your role, research domain, topics of interest and a description of your challenge.
Your IP address is held in server memory for up to ten minutes to limit submissions from one address. It is never written to a database or to our logs.
Please do not put sensitive information — health data, government identifiers, or anything confidential to your organisation — in a web form. Tell us you need a different channel and we will arrange one.
What we do with it
Email it to ourselves, reply to you, and keep the thread
When you submit a form, your details are emailed to our team inbox, you receive a confirmation, and our reply goes straight back to you via a Reply-To header.
The resulting email thread is kept as a record of the conversation, as any business correspondence would be.
We will not send you marketing. Under the Spam Act 2003 (Cth) the confirmation is a transactional message answering a request you made, not a commercial one. If we ever want to send you something else, we will ask first.
Information sent overseas
Our email and hosting providers are US companies — APP 8 applies
Resend delivers our email and Vercel hosts this site. Both are United States companies. Although the functions that process submissions run in Sydney, your information may be accessible from, stored in or transmitted through the United States.
This is an overseas disclosure under APP 8. Overseas recipients may not be subject to the Privacy Act, and we cannot guarantee a foreign jurisdiction offers the same protections as Australian law.
If you would prefer your information stayed in Australia, email us directly at hello@vectriontechnologies.com.au instead of using the forms, and say so.
How we protect it
HTTPS throughout, server-side validation, no database to breach
- The whole site is served over HTTPS.
- Submissions are validated on the server and rate limited.
- Submission content is never written to our logs.
- There is no database of submissions to breach — the information exists in our email and nowhere else.
No system is perfectly secure. If a breach occurs that is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.
Seeing, correcting or deleting your information
Email us — we respond within 30 days, free
Under APP 12 and APP 13 you can ask us what we hold about you, for a copy of it, to correct it, or to delete it where we are not required to keep it.
Email hello@vectriontechnologies.com.au. We respond within 30 days and do not charge. If we refuse, we will tell you why in writing.
We keep enquiry correspondence while it is relevant and for a reasonable period after. Ask and we will delete it sooner.
Complaints
Tell us first; escalate to the OAIC if we don't resolve it
If you think we have mishandled your information, email hello@vectriontechnologies.com.au. We acknowledge within 5 business days and aim to resolve within 30.
If you are not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
